Sender reputation is the running opinion mailbox providers hold about your mail, and it answers the inbox-or-spam question before your subject line is ever read. This guide covers the two reputations you actually have — IP and domain — the signals that feed them, a practical sequence for building and protecting them, and how to repair the damage when it comes.

Not a score you can see. A judgment that decides everything.
Every time you send mail, the receiving provider asks a question before it looks at anything else: do we trust this sender? Sender reputation is the answer — a running, internal assessment that Gmail, Microsoft, Yahoo, Apple, and the rest each maintain about the mail coming from your infrastructure. It is not a single published figure, despite the convenient shorthand of a "reputation score." It is a continuously updated judgment, assembled from many signals, that expresses how much a provider trusts you to send mail their users want.
What makes reputation the most important concept in deliverability is where it sits in the sequence. It is evaluated first, before your subject line, your design, or your offer is considered at all. A beautifully written email from a sender with poor reputation goes to spam; a plain one from a trusted sender reaches the inbox. Content and reputation are not weighed together as equals — reputation is the gate, and content only gets judged once the gate has been cleared. This is why teams who obsess over copy while ignoring reputation stay puzzled about their results.
It helps to think of reputation as a credit score for sending. You build it slowly through a track record of good behavior, it can be damaged quickly through a few bad acts, and once damaged it takes sustained good conduct over time to rebuild. No one hands you a good reputation; you earn it, message by message, and you can lose it the same way. Everything else in this guide is really about how that score is calculated, how to raise it, and how to keep from tanking it. And because it behaves like credit, the two worst things you can do are the same as with credit: take on damage faster than you can absorb it, and assume that because things look fine today they will look fine tomorrow. Reputation is always being re-evaluated on your most recent sending, so it rewards consistency and punishes the occasional reckless send out of all proportion to how rare that send was.

You have an IP reputation and a domain reputation. They are not the same.
Sender reputation is often discussed as one thing, but it is really two reputations that providers track separately. The first is IP reputation, attached to the IP address your mail is sent from. This is what IP warming exists to build — a new IP has no history, so providers treat it with suspicion until a gradual ramp of clean sending establishes that the address belongs to a legitimate sender. On a dedicated IP, that reputation is entirely yours; on a shared IP, it is the pooled product of everyone sending from it.
The second is domain reputation, attached to the domains that appear in your From address and your DKIM signature. This one matters more than many senders realize, for a simple reason: it cannot be escaped by changing IPs. A sender who damages their IP reputation might once have moved to a fresh IP and started over, but domain reputation follows the domain wherever it sends from. As mailbox providers have leaned more heavily on domain-based signals, the old trick of burning an IP and rotating to a new one has stopped working, because the domain carries the history regardless.
The practical implication is that both have to be built and protected, and that domain reputation deserves particular care because it is the more durable and less escapable of the two. It also means your sending architecture matters: keeping your authentication aligned so your domain is cleanly attributable, warming new IPs and domains properly, and not scattering your sending across infrastructure in ways that fragment or confuse the reputation signals. Reputation is built on a clear, consistent identity, and that identity is something your setup either supports or undermines.

/ 05 — The signals, in detail
What providers actually watch.
Complaint rate is among the heaviest signals. When a recipient marks your mail as spam, that is the clearest possible statement that your mail is unwanted, and providers weight it accordingly. Google's guidance points senders toward keeping complaints below roughly 0.1% and treats 0.3% as a hard problem — rates that small because the signal is so strong. Bounce rate sits close behind: a stream of hard bounces to nonexistent addresses says you are mailing a list you do not maintain, and a rate drifting past the low single digits marks you as careless.
Spam-trap hits are the quiet killers. A trap is an address that should never receive legitimate mail, so hitting one is strong evidence of poor list practices — and you get no bounce or complaint to warn you, just a sharp reputation hit. Engagement works the other way: opens, clicks, replies, and messages moved out of spam all tell providers your mail is wanted, while mail that is consistently ignored or deleted unread erodes standing over time. Increasingly, engagement is the signal that separates good senders from merely compliant ones.
Sending consistency matters more than people expect. A steady volume and cadence reads as an established, legitimate operation; sudden spikes read as a compromised account or a freshly purchased list, and providers respond defensively. Authentication underpins everything — SPF, DKIM, and DMARC give providers a stable identity to attach reputation to, and their absence leaves you anonymous in the worst way. And blocklist status and spam-folder placement both feed back in, each a symptom that can become a cause if left unaddressed. What ties all these signals together is that none of them can be faked for long: you cannot buy engagement, you cannot hide complaints, and you cannot disguise a spike. They are measurements of how recipients actually respond to your mail, which is why reputation ultimately tracks whether you are sending wanted mail to people who asked for it. Every technical lever in this guide is, underneath, a way of making that fundamental fact legible to the provider.

A track record, built in the right order.
Reputation is earned in a sequence, and skipping a step undermines the ones after it. The order that works:

- 2 — Warm gradually. Ramp new IPs and domains slowly, starting low and increasing over days and weeks, so providers build trust incrementally instead of seeing an alarming spike. The IP warming guide has the schedules.
- 3 — Keep lists clean. Verify at signup, honor unsubscribes at once, suppress hard bounces, and sunset the long-unengaged — minimizing the bounces, complaints, and trap hits that damage reputation fastest.
- 4 — Send consistently. Hold a steady volume and cadence. Predictability reads as legitimacy; erratic surges read as compromise or list-buying.
- 5 — Earn engagement, avoid complaints. Send wanted mail to people who opted in, make unsubscribing easy, and segment by engagement so opens stay high and complaints stay near zero.
- 6 — Monitor continuously. Watch Google Postmaster Tools and equivalents, check blocklists, and review DMARC and feedback-loop reports, so problems are caught while small and reversible.
/ 07 — How it breaks, how it heals
Fast to lose, slow to rebuild.
Reputation damage is usually self-inflicted and fast. A sudden volume spike from a new campaign or a purchased list, a send to an old unengaged segment that generates a wave of complaints, a batch of hard bounces from a list that was never cleaned — any of these can drop your standing in a single day. The asymmetry is brutal: weeks of careful reputation-building can be undone by one careless send, because the negative signals are weighted heavily and arrive all at once.
Repair is possible but follows no shortcut. The first move is to stop the cause — pause the campaign, halt the bad segment, fix the list. Then you rebuild much as you built the first time: cut volume sharply, send only to your most engaged recipients to generate fresh positive signals, clean the list aggressively, and increase volume gradually as standing recovers. Providers restore trust only after seeing a sustained pattern of good behavior, which by its nature takes longer than the damage did. There is no button that resets a reputation; there is only the slower path of earning it back.
This asymmetry is the strongest argument for treating reputation as something to protect rather than fix. The discipline that prevents damage — clean lists, gradual warming, consistent sending, honest consent — is far cheaper than the recovery that follows damage, and infinitely cheaper than the lost revenue while your mail sits in spam. Good reputation management is mostly the unglamorous work of not breaking it, done continuously, so the expensive repair never becomes necessary. It rarely makes for a dramatic story, because the success case is an absence — no spam-folder incident, no support surge, no scramble to rebuild. That invisibility is exactly why reputation tends to be neglected until it fails: the work of protecting it produces nothing visible, right up until the moment its absence produces something very visible indeed. The flip side is that reputation built slowly and properly is also more resilient, because it rests on a real history of wanted mail rather than a brief good patch.
How is sender reputation damaged?
Most reputation damage comes from a handful of causes: sudden volume spikes that look like compromise or list-buying, high complaint rates from sending unwanted mail, hard bounces from poor list hygiene, and spam-trap hits from mailing addresses that were never properly opted in. Any of these tells mailbox providers your mail is unwanted or your practices are careless, and the reputation drops accordingly. The damage is usually faster to inflict than to repair — a single bad send to a dirty list can undo weeks of careful reputation-building in a day.
Can damaged sender reputation be repaired?
Yes, but slowly and deliberately. Does a dedicated IP guarantee good reputation?
No — a dedicated IP gives you control over your reputation rather than a good reputation by default. On a dedicated IP, your reputation reflects only your own sending, which is an advantage if you send well and a liability if you send badly, since there is no one else to dilute your mistakes. A shared IP spreads reputation across many senders, which can cushion a small sender but also exposes you to others' behavior. The dedicated IP is the right tool when you have enough volume to warm and maintain it and you want your reputation to be entirely your own to manage.
How do I check my sender reputation?
The most direct window is Google Postmaster Tools, which reports your domain reputation for Gmail on a Bad, Low, Medium, or High scale alongside complaint rates and authentication results; for Microsoft mail, SNDS offers comparable data. Beyond the providers' own tools, check whether your sending IPs and domains appear on major blocklists such as Spamhaus, and run seed or inbox-placement tests that send to addresses across providers and report where each one landed. No single tool gives a complete picture, since providers keep their real scoring private, but together these give a reliable read on whether your reputation is healthy and an early warning when it begins to slip.
